Purpose of Position :

To ensure the timely and accurate coordination and processing of information for the selection and payment of jury panels. To perform related clerical and other duties in the Juries Office in both official languages.

Duties / Responsibilities :

1. Provides clerical support related to the process of documents/related transaction by:
- preparing data from Jury questionnaries for submissions to keypunch/Computer Centre;
- checking computer input prepared by other staff for completeness/accuracy; forwarding to keypunch; rechecking upon return; making necessary corrections and resubmitting;
- preparing/submitting computer input for open juries within time limits (32 days in advance), eg: summons, etc;
- verifying receipt of computer transactions and logging batches;
- calculating day/number of jurors to be paid under batch header; submitting for keypunch; forwarding to: Computer Centre with “Financial Job Request”, data conversion services for keying, Computer Centre for processing;
- preparing requests for financial updates and cheque printouts;
- assisting the Senior Clerk in the resolution of payroll difficulties;
- scheduling/coordinating lead times for opening of panels;
- preparing precepts for the drafting of jury panels; ensuring that resultant printouts are signed.


2. Assists in the general operations of the office by:
- responding to enquiries from lawyers and members of the general public regarding the jury selection process;
- assessing requests for exemption/deferment; exempting on statutory ground; deferring at own discretion in accordance with established practice;
- interviewing jurors experiencing difficulty on first day of panel; resolving problems or referring same to Senior Clerk

3. Performs related duties such as:
- preparing/typing routine correspondence;
- filing logs, panels, lists, printout requests, etc:
- briefing jurors in absence of Senior Clerk;
- as assigned.

Knowledge :

General knowledge of the procedures and functions of the Sheriff's Office; functional knowledge of the Juries Act and relevant sections of the Criminal code as it applies to the Juries Office; good communication skills to deal tactfully and effectively with members of the legal profession, prospective jurors, colleagues and the general public; organizational skills; typing skills (to Ontario Government standards). Advanced level of oral and written fluency in French.
