ROLE PURPOSE:
Assists the supply chain coordinator with office related issues. Booking hotels and air tickets, reserving conference room and facilities. Be responsible for correspondences and mailing, processing payments for hotels, ticketing agents, photocopy service; be responsible for sending and receiving emails and different letters.
SCOPE OF ROLE:
Reports to: Supply chain coordinator
Staff directly reporting to this post: None
KEY AREAS OF ACCOUNTABILITY:
Receives incoming telephone calls, letters, e-mail and messages
Facilitate payment of monthly telephone bill, water bill, electric bill,
Screens documents that need the approval of the Supply chain coordinator, and ensures they are completed before presenting them for approval
Receives and registers all incoming correspondences, sort out and distributes to the appropriate department unit
Issues orders for items to be bound, copied, laminated, as per requests made from departments
Makes reservations of conference hall and facilities
Prepares and follows up payment for flight booking made with agents and reservation made to hotels
Maintains confidentiality in all aspects of visitor, staff and Organization information
Checks and approves travel advances, settlement of utility fees, purchase, petty cash and other administrative payments
Performs sending/receiving fax messages
Performs other related tasks as required.
QUALIFICATIONS AND EXPERIENCE
BA/College Diploma in Management/Secretarial Science or Management or related from a recognized college
2 years of administrative experience preferably in NGO setting for degree holder or 4 years if Diploma holder
Having excellent proficiency in spoken and written English with strong interpersonal skills and demonstrated ability to lead team effectively.
Have commitment to work longer hours/weekends or on remote field visits whenever needed.
Ability to draft various letters
Commitment to SCI’s aims, values and principles.
