The Senior Logistics Officer will be responsible to, and accountable to, Logistics Manager, for the management and delivery of logistics related activities related with fleet management, country office logistics reporting, and asset control; while provide support in warehouse/GIK management and procurement and in the absence of the Logistics Manager will be acting for the logistics department.
1. Transport
· Responsible for any vehicles related issues between country office and field offices · Prepares complete periodic vehicles and motors related reports · Prepares complete periodic fuel consumption report · Follows rental vehicles contracts and prepare payment requests accordingly · Responsible for the timely renewal of motors and vehicles insurances · Checks rental vehicles condition prior to departure to field offices · Checks the validity of driving licenses of rental vehicles drivers and document recordings · Analyzes fuel utilization of vehicles and prepares reports, gives feedback and reports to logistics manager and field management on poor performances of vehicles and drivers. · Check Log sheets of vehicles and recordings, prepare monthly utilization and availability reports. · Follow and give direction with regard to the daily, weekly and monthly fleet/ vehicle allocation of the country office to logistics assistant (dispatch/driver) · Checks all repair work performed in work shop for completeness (For IMC owned vehicles). This includes physical inspections and road tests before vehicle is returned back to field. · Keeps maintenance and repair records · Examines reports for accuracy on each vehicle and piece of equipment repaired; writes reports on vehicle utilization, fuel consumptions and log sheet report for the total KM traveled and fuel used on monthly bases on vehicles, generator and equipment. · Ensure and monitor vehicles are in good condition as required · Maintains a complete inventory system through recording of all expenditures of each vehicle, maintenance equipment gasoline, repair parts, supplies, etc. · Implements and monitors a preventative maintenance program to assure cost effective maintenance and a scheduled maintenance program to provide maintenance by manufacturers specifications.
2. Procurement
· Train and supervise logistics staff involved in procurement.
3. Asset
· Makes mandatory and periodic asset verification · Follows proper registration of the assets as per the IMC requirement · Keeps the asset database up to date · Prepares and shares period asset report as per the IMC requirement · Follows the asset insurance · Tags assets prior to providing the item to end user · Keeps the data base of attractive items and office furniture’s/equipment’s up to date
4. Warehouse/GIK and Reporting
· Provides required technical support to warehouse/GIK officer · Monitors whether the quality of the warehouse documentation and arrangement of materials/items is as per the required standard · Prepares weekly/monthly/quarterly country office logistics reporting and ensures the quality of the report by incorporating all mandatory attachments
